Position Overview - Technical Administrator

Our client is recruiting for their prestigious blue-chip financial sector contract. They are currently looking to recruit a Technical Administrator at one of their prestigious sites in Leicester. The site consists of multiple data centres and office blocks.

The Technical Administrator will be responsible for supporting the day to day administration of all Data Centre/Head Office operations on our clients financial sector client account, ensuring good communication between all sites and management.

The role will be required to work closely with all members of the Data Centre/Head Office operations and critical teams to ensure correct operation of the critical services, through timely engagement of support wherever necessary.

The role of Technical Administrator is to assist in providing administrative and technical support to the operational/critical management within the business.

Key Responsibilities:

Administrative Duties:

  • Liaise or call out sub-contractors as required to meet operational needs
  • Arranging meetings, booking rooms, and planning refreshments
  • Replying to generic information emails and organising postal sorting mail
  • Aiding with planning and arranging events, including organising catering, etc
  • Draft, format, and print relevant documents
  • Maintaining stock levels and placing orders for office supplies as required
  • Frequent interaction with the management team, supporting their requests
  • Creating meeting agendas and taking minutes
  • Managing outgoing post and recording data on special deliveries
  • General photocopying and filing if required
  • Attending workshops and conferences when requested
  • On occasion supporting website functions and updating social media profiles

Financial Duties:

  • Raise & track PO's if required to do so through the Coupa system
  • Weekly WIP reporting to the FM's
  • Receive, check & process timesheets/overtime forms by due date

Operational Duties:

  • Log, Allocate and update all works on a job tracker (Ostara)
  • Upkeep of the work order tracker to ensure business continuity and achieve high compliance SLA scoring monthly
  • Supporting the team in the implementation of new business
  • Developing and maintaining internal relationships to help maintain business flow and meet agreed targets
  • Contributing to the smooth running of the technical administrative function within the business
  • Promoting the profile of the company within the profession and wider communities
  • Continuous professional development to meet regulatory requirements and personal development needs
  • Ensuring that any business conducted is done in a responsible and compliant manner, meeting all legislative requirements, both internally and externally
  • Be responsible for the upkeep of the training matrix and to book/organise training courses for the team when required
  • Creating access for the DCs/HoBs when required and responsible for the upkeep of the VAF tracker (Visitor Access Form system)

Experience and attributes:

  • Customer focused to the highest level when dealing with client requests/needs

  • Willingness to learn and take on broader responsibilities
  • Self-motivated and able to work effectively independently or as part of a team
  • Superb customer/operational support acumen
  • Strong aptitude for problem solving
  • Excellent written and verbal English required
  • Strong organisational skills with the ability to multi-task
  • Confident, calm and collected individual in highly pressured scenarios
  • Experience in using CAFM systems preferable
  • Previous experience in a similar role essential

Technical Administrator Package

  • Salary: £22,000 - £26,000
  • 40 Hour Per Week
  • Monday to Friday (8am - 4pm)
