Facilities Administrator

Location: Birkenhead 
Salary: £27,500
Hours: Monday to Friday, 8:00am – 5:00pm (Office-based)

We are looking for a proactive and highly organised Facilities Administrator to join our clients growing team. You will play a key role in supporting the Facilities Manager with the coordination of daily operations, managing engineer schedules, liaising with subcontractors, and ensuring the smooth delivery of both reactive and planned works.

This is a busy and varied role that requires attention to detail, strong communication skills, and the ability to prioritise effectively.

Key Responsibilities:

  • Manage the diary and workload of in-house engineers
  • Coordinate and liaise with subcontractors, clients, and engineers via phone and email
  • Monitor and manage a busy shared inbox daily
  • Order parts and materials as required
  • Prepare and issue quotes
  • Chase outstanding jobs to ensure timely completion
  • Handle purchase orders and invoice processing
  • Use CAFM systemto manage and track job progress

What We’re Looking For:

  • Experience in a facilities, maintenance, or building services administrative role
  • Confident and professional communication skills, both written and verbal
  • Familiarity with CAFM systems
  • Strong organisation and multitasking skills
  • Comfortable handling purchase orders, invoicing, and quoting
  • Team-oriented with a proactive attitude
  • Able to work full-time in the office (5 days per week)
