Are you an organised, proactive administrator with experience in Facilities Management or a maintenance helpdesk environment?

We’re recruiting for a Helpdesk Administrator in Leeds to join a busy and supportive FM team. This is a fantastic opportunity for someone who thrives in a fast-paced environment and enjoys coordinating engineers, contractors and maintenance works.

The Role – Helpdesk Administrator (FM)

As the first point of contact for maintenance requests, you’ll play a key role in keeping operations running smoothly across a commercial portfolio.

Key Responsibilities:

  • Act as the first point of contact for all helpdesk queries via phone and email

  • Log, allocate and track reactive and planned maintenance jobs using a CAFM system

  • Schedule engineers and contractors efficiently

  • Monitor job progress and ensure SLAs are met

  • Liaise with suppliers and support contractor onboarding

  • Maintain accurate records, compliance documentation and reports

  • Provide general administrative support to the FM team


What We’re Looking For:

  • Previous experience in a Helpdesk Administrator, FM Administrator, Maintenance Coordinator or similar role

  • Experience working within Facilities Management (FM) preferred

  • Familiarity with CAFM systems (highly desirable)

  • Strong organisational and communication skills

  • Ability to multitask and prioritise in a busy environment

  • Good IT skills (Microsoft Office essential)

  • High attention to detail
