PPM Team Leader
Role Overview
The PPM Team Leader is responsible for overseeing the day-to-day delivery of the Planned Preventative Maintenance function. Acting as the link between the Head of PPM and the Coordinators, the role ensures schedules are delivered on time, client expectations are met, and performance standards remain high across the portfolio.
This is a hands-on leadership role combining operational control, client engagement, and performance management to ensure the PPM function operates proactively and reliably.
Key Responsibilities
Team Leadership & Coordination

Lead and support a team of 3–4 PPM Coordinators.

Allocate workloads and ensure maintenance schedules are delivered on time.

Resolve operational and resourcing issues quickly and effectively.

Monitor team performance and provide coaching to maintain efficiency and standards.
Client Account Management

Act as operational lead for key PPM accounts.

Deliver clear, proactive communication and regular performance reporting.

Lead client review meetings and service updates as required.

Build strong, responsive working relationships.
Service Delivery & Performance

Ensure all PPM works are scheduled, completed, and recorded in line with contractual requirements.

Monitor KPIs and SLAs, identifying risks early and implementing corrective actions.

Maintain accurate certification, documentation, and compliance reporting.

Promote a proactive, prevention-focused maintenance approach.
Operational Improvement

Support improvements to processes, systems, and reporting standards.

Drive efficiency, reduce missed visits, and improve response performance.

Assist with mobilisation of new contracts into the PPM structure.

Person Profile
Experience within Facilities Management, maintenance coordination, or a comparable service environment. Strong organisational skills, attention to detail, and confident client communication are essential.
Structured, proactive, and comfortable leading both team performance and client relationships in a fast-paced PPM environment.
